How to build a client onboarding checklist with AI

The problem to solve
An onboarding checklist fails when it records activity without showing whether delivery can start. The team needs to know which inputs are required, who obtains them, and what happens when something is missing.
Define readiness before listing tasks
Describe what must be true for delivery to begin. This may include an approved scope, a named decision-maker, and access through an appropriate account. Build the checklist around those conditions. A box marked “welcome email sent” does not establish that the client supplied the information the team needs.
Make exceptions actionable
Each missing input should lead to a named follow-up action. Specify who resolves an unclear scope or unavailable account access. Avoid collecting secrets in ordinary notes or asking clients to share passwords casually. The checklist should help the team identify a blocked start before work begins, rather than discovering the same gap midway through delivery.
