How to turn a process into an SOP with AI
Transform process notes into an SOP with decision points, exceptions, and a usable completion check.
Agency Script Editorial · Updated
The problem to solve
Process knowledge often lives in someone’s head or in a recording nobody revisits. An SOP becomes useful when another person can follow it and recognize when to stop or ask for help.
Capture decisions, not just clicks
A recording may show what someone did without explaining why. Identify the choices that affect the result and the information needed to make them. Separate required steps from preferences. If the process depends on an undocumented judgment, make that question visible so the owner can supply the missing rule.
Test the document against a real task
Have an appropriate operator follow the draft on a safe example. Record where they hesitate or need outside context. Update the document based on those observations and assign someone to maintain it. An SOP is a working reference; changes to the underlying tools or responsibilities can make a once-correct instruction stale.
How Agency Script helps
Agency Script’s workflow builder helps organize notes into a repeatable operating procedure. The draft gives the process owner something specific to validate with the team.
Start with a short request and your source material. The paid guide includes the copyable starter, what to provide, and how to review the result on web or desktop.

A fictional monthly report preparation SOP
Fictional operating procedure excerpt. No external delivery or automation has occurred.
Illustrative worked example created for this guide. Fictional business and inputs; not a customer result or a verified product execution.
| Stage | Decision or action | Completion check |
|---|---|---|
| Collect | Use the agreed date range for each export. | Source files and filters recorded. |
| Reconcile | Investigate mismatched definitions before writing. | Differences explained or marked unresolved. |
| Review | Send the draft to the named approver. | Approval recorded before client delivery. |
What to verify before using the result
- Do not automate irreversible actions merely because they appear in process notes.
- A draft SOP needs a practical walkthrough before being treated as approved.
